Terms & Conditions

Welcome to Chaloway. By booking a trip, trek, or any travel service with us, you agree to abide by the following terms and conditions:

1. Booking & Payment

  • Advance Payment – 20% of the total trip cost must be paid at the time of booking to confirm your seat.
  • Final Payment – The remaining 80% must be paid 1–2 days prior to the trip departure date.
  • Bookings will be considered confirmed only after the advance payment is received.
  • If final payment is not made before departure, Chaloway reserves the right to cancel your booking without refund of the advance payment.
  • Prices are subject to change without prior notice due to currency fluctuations, fuel costs, taxation changes, or other unforeseen circumstances.

2. Cancellation & Refund Policy

  • 100% Cancellation Charges – If cancellation is made 7 days or less before departure.
  • 50% Cancellation Charges – If cancellation is made 5–6 days before departure.
  • No Refund – If cancellation is made 3 days or less before departure.
  • No refund will be made for no-shows or early departures during the trip.
  • Refunds will be processed within 7–10 working days after deduction of applicable charges.
  • In case of force majeure events (weather, political unrest, natural disasters), the trip may be rescheduled or adjusted. No cash refund will be provided in such cases; a credit note may be issued.

3. Inclusions & Exclusions

  • Trip inclusions and exclusions will be clearly mentioned in the itinerary for each trip.
  • Any services not explicitly mentioned as included will be considered additional and will be chargeable.

4. Liability & Responsibility

  • All trips, treks, and activities are undertaken at your own risk.
  • Chaloway will not be responsible for:
    • Any loss, theft, or damage to personal belongings.
    • Any injury, accident, illness, or mishap during the trip.
    • Delays, rescheduling, or cancellations caused by weather, road closures, political situations, or other circumstances beyond our control.
  • While guides and coordinators will be provided, they are not liable for your personal safety—you are expected to act responsibly.

5. Health & Fitness

  • Participants must ensure they are physically and mentally fit for the trip they are booking.
  • Any pre-existing medical condition must be disclosed at the time of booking.
  • Chaloway reserves the right to refuse participation if a traveler is deemed unfit for safety reasons.

6. Conduct & Behavior

  • Participants must follow the instructions of the trek leader or guide at all times.
  • Any behavior that endangers the safety of the group or disrupts the trip may result in removal from the trip without refund.
  • Alcohol consumption and drug use during treks and adventure activities are strictly prohibited.

7. Travel Documents

  • For trips requiring permits, Chaloway will assist in the process but is not responsible for delays or rejections by authorities.
  • You must carry a valid government-issued ID at all times.

8. Photography & Media Rights

  • During the trip, photos and videos may be taken by Chaloway staff for promotional purposes.
  • By booking with us, you consent to the use of such media unless you inform us in writing before the trip.

9. Jurisdiction

All legal disputes or claims will be subject to the exclusive jurisdiction of the courts in Faridabad, Haryana, India.

10. Force Majeure

Chaloway shall not be held liable for any failure or delay in performance due to events beyond our reasonable control, including acts of nature, extreme weather, natural disasters, strikes, political disturbances, or pandemics.

11. Agreement

By booking with Chaloway, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
